DTF Artwork Review vs Proof Approval

Two supplier terms can sound alike but solve different problems: an artwork review and a proof approval.

An artwork review is usually a check of whether a supplied file appears usable for the requested order. A proof approval is usually a customer signoff on a specific version, layout, or mockup before production. Suppliers define these steps differently, so do not assume that uploading a file means it is approved, or that a review means a proof will be sent.

Before changing DTF suppliers, ask how the selected product handles both steps. This is especially useful when a job has small text, a completed gang sheet, a deadline, a repeat layout, or details another person must approve.

• Request or review a proof when a supplier provides one and you need to confirm the exact version, placement, spelling, dimensions, or layout before work begins.

When a file review is the practical first step

Start with a review before ordering when you have an original design but are uncertain whether it will hold up at the planned print size. Common reasons include a screenshot rather than the original file, an unexpected background, fine lines or small type, a logo that may need enlargement, or an unfinished gang-sheet layout.

A review can help clarify the next action. It may show that the file is ready, that a completed gang sheet should be uploaded as submitted, or that the artwork should be corrected before an order is placed. It is not a promise that a supplier will redesign, recreate, resize, or remove a background unless that service is explicitly included.

When proof approval matters most

Proof approval is most useful when a visible decision needs a clear owner. That can include a customer name or date, a multi-location apparel layout, a large group order, a revised art version, or a placement that cannot be inferred from the file alone.

Ask whether the selected DTF product includes a proof, whether it is optional or required, what details the proof represents, and what happens after approval. For straightforward print-ready transfer orders, some suppliers may print the file as submitted instead of producing a proof. That can be a suitable workflow when the buyer has already checked the completed file; it is not the same as a supplier-created proof.

• Does this product include an artwork review, a proof, both, or neither?
• Is the check limited to file readiness, or does it include layout, spelling, placement, and dimensions?
• If a file needs correction, who supplies the revised artwork and how is that communicated?
• Does a file review begin before checkout, after checkout, or only for certain products?
• Is a proof provided for this specific product or order type? Is customer approval required before production?
• What is the final source of truth: the submitted file, a proof, a cart selection, or a written production note?
• When does production timing begin or resume after artwork questions or proof approval?
• Does the supplier print a completed gang sheet exactly as submitted, or can it move, resize, or re-arrange individual designs?
• Can the supplier's team make visible artwork changes without asking for new approval?
• What should the buyer retain for a repeat order: the final file, proof version, dimensions, and order record?

Does a proof guarantee the final print?

No. A proof's purpose and limits depend on the supplier and product. Check what it represents, review it carefully, and confirm the final file and production instructions.

Should I use Artwork Check before building a gang sheet?

It can be useful when you are unsure whether an original image is ready at the intended print size. It is not needed merely because you want to arrange already prepared designs in a builder.

Can DTFATL change a completed gang sheet after I upload it?
